PROGRAM INFORMATION
The Global Affairs Canada (GAC) Canada-ASEAN Scholarships and Educational Exchanges for Development (SEED) program provides scholarships for international students from member states of the Association of Southeast Asian Nations (ASEAN) to conduct short-term study or research in Canadian post-secondary institutions. Scholarships focus on studies and research in areas that contribute to the implementation of the 2030 Agenda for Sustainable Development.

ELIGIBILITY
- Undergraduate students (S1) and Graduate Students (S2)
- Enrolled in Universitas Gadjah Mada during the program
- Minimum GPA of 3.0 on a 4.0 scale
- Be proficient in English
- The agreement between UGM and UBC is specific to UBC’s Faculty of Forestry. Therefore, students from disciplines mentioned in the agreement: biology, economics and business, engineering, geography, and forestry are welcome to apply, but they would be expected to be taking the majority of their courses from Forestry. In addition, upper-year courses typically have prerequisite requirements, so students are expected to meet these prerequisites, if any, before enrolment.
REQUIRED DOCUMENTS for the Student Exchange Application
- Letter of Nomination from Faculty (addressed to the Head of Office of International Affairs UGM)
- Letter of Recommendation from the Academic Advisor
- Curriculum Vitae
- Current official academic transcript: If you are pursuing graduate studies, include both undergraduate and graduate transcripts. Transcripts must include the grading scale and final grades for at least one full term of completed courses at the nominating partner university.
- Official translation of academic transcript if the original transcript is not in English.
- Proof of English proficiency: If English is not your first language or the language of instruction at your home university (check with your home university’s exchange office to see whether this requirement has been waived for your university). See the list of accepted tests and requirements here.
- Passport copy (biographical page only)
- Proposed Course List 2025/2026: Your proposed courses will give Go Global an idea of what you plan to study at UBC, so that you can be admitted to the appropriate faculty. We will use the list for admission purposes only. You will receive separate instructions for the actual course registration, which is an ongoing process between your admission and the course add/drop deadline.
- Additional supporting documents as needed for students planning to take courses in certain faculties/disciplines at UBC (see section “Additional documents required by faculties or departments at UBC” in the website here).
Additional REQUIRED DOCUMENTS for the ASEAN SEED Application
- Letter of proof of full-time enrolment from the home institution (from your faculty)
- On official letterhead
- Dated within the last six months
- Confirms that the candidate is currently enrolled in a full-time program
- Proof of citizenship: Colored Scanned Copy of Passport
- Signed Privacy Notice Statement
- A copy of the Privacy Notice Statement for non-Canadian participants signed by the candidate and dated within the last six months
- Letter of intent from the candidate (maximum one page)
- Explains the nature of studies or research to be undertaken
- Provides rationale for study in Canada and for the choice of institution, program and supervisor and how the proposed program of study or research will relate to their future career
- Explains how undertaking study or research in Canada will empower the student to apply their learning to address the 2030 Agenda for Sustainable Development
- Explains how they intend to use their learning to help combat poverty and narrow the development gap in the ASEAN region in their future career
- Identifies the Sustainable Development Goal (SDG) their proposed study or research in Canada is aligned with and will contribute to
- Candidates from Cambodia, Indonesia, Laos, Malaysia, Myanmar, the Philippines, Thailand or Vietnam must provide an explanation of how their learning in Canada will help to combat poverty in their home country
- Candidates from Brunei or Singapore must provide an explanation of how their learning in Canada will help combat poverty in one of the other eight ASEAN countries.
- Letter of invitation from the Canadian supervisor (graduate students only, maximum one page)
- On official letterhead
- Dated within the last six months
- Signed by the Canadian supervisor
- Describes the nature and scope of the research collaboration with the student’s home institution
- Confirms their willingness to support and mentor the candidate during the exchange period
- Explains how the Canadian institution, supervisor and peers will benefit from the exchange
- Letter of support from the home institution (maximum one page) *will be provided by OIA UGM upon nomination
- Signed copy of Memorandum of Understanding (MOU) or Agreement with the partner institution *will be provided by OIA UGM upon nomination
APPLICATION PROCEDURE
- Submit the aforementioned documents to UGM International Exposure Application Form: http://ugm.id/IntExposureApplication no later than 10 March 2025 for internal review.
- OIA staff will evaluate your application. Once you are selected as Nominated Applicants, OIA will confirm your official nomination to UBC by the deadline of 15 March 2025.
- Applications will be reviewed internally by UBC and they will send notification for further exchange application that you will need to submit by 1 April 2025.
- Person in charge for the ASEAN SEED at UBC will submit the application to the Canada ASEAN SEED Program The Global Affairs Canada (GAC) by the deadline of 31 March 2025.
- The FINAL decision is from The Global Affairs Canada (GAC).
IMPORTANT NOTES
- In the meantime, the students are required to keep the hard file of all documents until further notice by the Office of International Affairs.
- In case the faculty could not provide the letter of enrollment and nomination during this period, the official nomination through email from the faculty is acceptable. The official nomination could be delivered to head-oia@ugm.ac.id (cc to scholarship@ugm.ac.id
