Meet Immigration Staff at OIA: Dwi Hartini

A lot of students not only dream of going overseas, but to study abroad too. In OIA, our job is to make overseas programs offered for students not only readily available but to help students in the overall process. OIA also announces various programs and scholarships offered by overseas partners for students of UGM.

OIA receives various offers from UGM’s partners available to the academic community. Staff members review, publish, and communicate with partners regularly about these programs. All this paperwork is regularly processed everyday by staff members of the Outgoing Mobility Division.

Today we have Bu Dwi as our guest, who is the PIC for scholarships and Outgoing Mobility. Her daily tasks include arranging mobility for students who want to undergo international exposure abroad which in itself has many procedures from arranging documents all the way to them returning back to Indonesia.

She also has other tasks related to Outgoing Mobility. Bu Dwi and her division processes scholarship offers from partner universities, registration documents from students or nominations from faculties, announcing results from partner universities, and others. In short, they go through a mass amount of paperwork.

Outside dealing with scholarships and Outgoing Mobility in OIA, outside OIA Bu Dwi handles the staffing and human resources in the Directorate of Partnerships, Alumni and International Affairs.

When asked if her daily workload in OIA disturbs any of her other activities she said it does not. She explained that with proper time management anyone can have time for anything and that such skill is necessary when working. She said it is important to list what is urgent and to use your time wisely, if work is not done then it should be completed first.

OIA then returned as the topic of the conversation as she talked about the organization itself. When asked about information about OIA she said that the website contains all the information needed. Regarding specific data, she mentioned that a lot of information is available to the public (usually published) but also mentioned that there is still data that cannot be disclosed. The main point is that information that is not considered confidential should already be available on the website.

The topic of interns came up and she gave her thoughts about the topic. She mentioned the track record of previous interns and described them all as being kind, polite, and fast in completing their tasks. She also mentioned that interns should be active when working and encourages them to ask questions if they are confused and assures that the staff in OIA will definitely help any colleagues in need.

Banyak mahasiswa tidak hanya bermimpi pergi ke luar negeri, tetapi juga untuk belajar di luar negeri. Di KUI, tugas kami adalah membuat program luar negeri yang ditawarkan bagi mahasiswa tidak hanya tersedia tetapi juga membantu mahasiswa dalam keseluruhan proses. KUI juga mengumumkan berbagai program dan beasiswa yang ditawarkan oleh mitra luar negeri untuk mahasiswa UGM.

KUI menerima berbagai tawaran dari mitra UGM yang tersedia untuk civitas akademika. Anggota staf meninjau, menerbitkan, dan berkomunikasi dengan mitra secara teratur tentang program ini. Semua dokumen ini secara teratur diproses setiap hari oleh anggota staf Divisi Mobilitas Keluar.

Hari ini kami memiliki Bu Dwi sebagai tamu kami, yang merupakan PIC untuk beasiswa dan Outgoing Mobility. Tugas sehari-harinya antara lain mengatur mobilitas mahasiswa yang ingin menjalani international exposure di luar negeri yang dengan sendirinya memiliki banyak prosedur mulai dari mengurus dokumen hingga mereka kembali ke Indonesia.

Dia juga memiliki tugas lain yang berhubungan dengan Outgoing Mobility. Bu Dwi dan divisinya memproses penawaran beasiswa dari universitas mitra, dokumen pendaftaran dari mahasiswa atau nominasi dari fakultas, pengumuman hasil dari universitas mitra, dan lain-lain. Singkatnya, mereka melewati sejumlah besar dokumen.

Di luar beasiswa dan Outgoing Mobility di KUI, di luar KUI Bu Dwi menangani kepegawaian dan SDM di Direktorat Kemitraan, Alumni dan Hubungan Internasional.

Ketika ditanya apakah beban kerja hariannya di OIA mengganggu aktivitasnya yang lain, dia menjawab tidak. Dia menjelaskan bahwa dengan manajemen waktu yang tepat, siapa pun dapat memiliki waktu untuk apa saja dan keterampilan seperti itu diperlukan ketika bekerja. Dia mengatakan penting untuk membuat daftar apa yang mendesak dan menggunakan waktu Anda dengan bijak, jika pekerjaan tidak selesai maka harus diselesaikan terlebih dahulu.

OIA kemudian kembali menjadi topik pembicaraan saat ia berbicara tentang kantor itu sendiri. Ketika ditanya tentang informasi tentang OIA, dia mengatakan bahwa website tersebut berisi semua informasi yang dibutuhkan. Mengenai data spesifik, dia menyebutkan bahwa banyak informasi yang tersedia untuk publik (biasanya dipublikasikan) tetapi juga menyebutkan bahwa masih ada data yang tidak dapat diungkapkan. Intinya adalah bahwa informasi yang tidak dianggap rahasia harus sudah tersedia di situs web.

Topik magang muncul dan dia memberikan pemikirannya tentang topik tersebut. Dia menyebutkan rekam jejak magang sebelumnya dan menggambarkan mereka semua sebagai orang yang baik, sopan, dan cepat dalam menyelesaikan tugas mereka. Ia juga menyebutkan bahwa peserta magang harus aktif ketika bekerja dan mendorong mereka untuk bertanya jika mereka bingung dan memastikan bahwa staf di OIA pasti akan membantu rekan yang membutuhkan.
